Project Management

“Project management uses processes, skills, tools and knowledge to complete a planned project and achieve its goals. It differs from general management because of the limited scope of a project, concrete deadlines and specific deliverables”

(Galante, 2022).

Tools

Scrum is an Agile framework for development (not process) emphasising value delivery. Moreover, continuous job submissions for charity with constant charity feedback collection are used to provide work for Metoringplus. As much as feasible, adjust to accommodate charity requirements (Peek, 2022).

We choose to use Agile as our methodology because of the nature of the project and the benefit we can get more feedback from all relevant stakeholders; Mentoring Plus, Adviser, University. These help us increase the value of our achievement and determine the project's direction and capabilities and what it should and shouldn't have. Our typical sprint usually lasts around two weeks, meeting twice a week to review the progress and try to implement it. We also use the Scrum board to list our To do, In-progress, and Done in order to retrospective and improve the next sprint.

Benefits of Scrum

  • Determine the direction and capabilities of the project, what it should and shouldn't have.

  • Increase value of our achievement

  • Deliver our job faster and more often.

  • More sustainable life cycle.

Meeting Minutes

Throughout the duration of our project we had in total 14 meetings. For each meeting we set an agenda and then noted what was discussed and who was in attendance. This made it easy for us to track our progress and plan for future meetings. It also made it convenient if group members were unable to attend the meeting, they could understand wat was discussed.

Risk Management

A risk assessment is a systematic procedure including the identification, analysis, and management of hazards and risks. When conducted by a qualified professional, it may help determine whether safety measures are or should be in place to reduce or eliminate workplace risk under each possible condition (Eduljee, 2000). Risk evaluation is one of the critical components of a risk analysis. Risk analysis is a multi-step procedure designed to discover and evaluate all business-harming risks and hazards. This is a continuous procedure that is updated as required. These principles are interrelated and can also be utilised independently. Risk communication is the process of disseminating risk-related information and perspectives to affected parties. Risk management is proactive in examining and controlling hazards and risks to prevent accidents, uncertainty, and mistakes. Together with risk assessment, these are essential components for making educated decisions, such as risk mitigation.

We carried out a risk assessment before we started the project to identify potential hazards during our project. We assessed these by analysing the hazard severity and the likelihood of occurrence and then determining the risk. We identified potential risks such as stress, online security, reputation issues (to the charity and university), display screen equipment (leading to
eye strain, back problems) and lone working. We concluded that these were low risk, however we still implemented measures to reduce the impact of these such as in-person meetings, a structured schedule and regular contact with the charity to ensure everything we were doing was within their guidelines.
